How To Schedule A Meeting
Schedule A Live Meeting Conference Using Outlook®
Using Outlook makes it easy to schedule Live Meetings once the plug-in has been downloaded. You can download the free plug-in from http://www.attvoiceconferencing.com/download.asp?id=lm05_outlook
To Schedule Using Outlook
- On the Live Meeting toolbar in Outlook, click Schedule Live Meeting.
- Enter a subject for the meeting, and then select start and end dates and times for the meeting.
- On the Live Meeting toolbar, click Make this a Live Meeting. Meeting settings appear based on your scheduled meeting preferences.
- Use the default settings, or enter new information to define your meeting.
- Click OK.
- Outlook updates Live Meeting with your newly scheduled meeting and an email invitation to the meeting appears.
- Address the email to the invitees, and then click Send.
Note: The content of the invitation is based on the participant privilege option you choose. For example, if you chose "Only I" will present, all invitations will contain participant information. If you allow some participants to present, you send two types of invitations:
- Presenters receive an invitation to present at your meeting as an email message. The message does not automatically appear as an appointment request in the presenter's Outlook calendar.
- Non-presenting participants receive an email invitation directly from LiveMeeting as an appointment request email. These participants will accept or decline your invitation as they do other Outlook appointment requests.
Schedule A Conference In Live Meeting
- Go to the URL listed on your welcome email and enter your username and password.
- Click Schedule Meeting, enter the details for your meeting including participants email addresses.
- Your meeting confirmation and details will be displayed. Your meeting is now scheduled.
- To invite attendees and confirm meeting click Send Invitations.
Recurring Meetings:
Ongoing or recurring meetings can be scheduled by using the Recurring or ongoing button in either Outlook or on the web booking pages.
